This agreement explains how we work, how projects are structured, and how payments and timelines are managed — all designed to ensure a smooth, async, and results-driven collaboration.
Async-First Collaboration
At ConvertSales, all our projects operate under an async-first methodology, designed to eliminate unnecessary meetings and time-zone conflicts. We communicate exclusively through documented messages, video walkthroughs, and centralized workspaces. This ensures that every detail of your project is traceable, structured, and accessible at any time. Each phase of the process is shared with clarity, so you always know what’s being worked on and when to expect updates.
Why it’s better:
You save time (no scheduling delays).
Every update is documented for full transparency.
You can review and give feedback at your own pace, in any timezone.
Deliveries & Deadlines
Our design process follows a sprint-based structure, where deliverables are organized into weekly or bi-weekly phases. Every project begins with a defined timeline, clear milestones, and documented handoffs. We believe in flexibility — timelines may evolve as feedback or scope adjustments arise — but always with prior communication and mutual agreement. You’ll have full visibility into progress, priorities, and any changes throughout the project.
Our commitment:
Every project has a defined delivery schedule visible from day one.
We document all changes and decisions for clarity.
Timelines adjust only when new scope or feedback is introduced.

No confusion about what’s done and what’s next.
Quality is prioritized over rushing unfinished work.
Payments
All payments are processed through Stripe, ensuring security and international compliance. When you confirm a project, a detailed invoice and payment link are automatically generated. For one-time projects, payment is split between an initial deposit (50%) to start and a final balance (50%) upon delivery. For subscription-based engagements, payments are billed monthly on the same date each cycle. Taxes and processing fees, if applicable, will always be disclosed before payment.
For fixed projects:
50% upfront to begin.
50% upon final delivery (handover).
For subscriptions:
Monthly billing, charged automatically every 30 days.
You can upgrade, downgrade, or cancel anytime before the next billing cycle.

Cancellation & Refund Policy
We understand that priorities and budgets can shift. Our cancellation and refund policy is structured to maintain fairness for both sides. You can cancel your project or subscription at any time — we simply calculate the value of the work completed up to that point and issue a partial refund if applicable. Refunds are always handled promptly and transparently, respecting your decision while recognizing the effort already invested by our team.
For fixed projects:
You may cancel anytime.
Work completed up to that point will be billed proportionally.
The remainder will be refunded.
For subscriptions:
You may cancel anytime before your next billing cycle.
No retroactive refunds for ongoing or completed work.

You stay in control — no long-term lock-in.
We maintain fairness and accountability for work delivered.
Revisions & Feedback
Each project includes a defined number of structured feedback rounds to ensure alignment and satisfaction with the design. During these revisions, you can request changes, refinements, or clarifications directly in the shared workspace. Additional feedback rounds or new scope requests can be added as extensions or separate mini-sprints. Our goal is always to refine your product efficiently while respecting the integrity of the design strategy.

Prevents scope creep and keeps focus on your goals.
Ensures design quality through focused, meaningful feedback.
Confidentiality & Ownership
All deliverables, including wireframes, prototypes, and final designs, are considered confidential and exclusive to your organization. ConvertSales retains no rights to reuse, resell, or repurpose any materials created under your project without your explicit consent. Once final payment is received, full ownership of the designs transfers to you, including intellectual property and commercial use rights.

You retain full control and ownership.
We protect your ideas as if they were our own.
Continuous Improvement
For clients who choose ongoing UX Optimization plans, ConvertSales operates on a continuous improvement model. We monitor performance, user feedback, and data insights to identify opportunities for enhancement after launch. These recurring cycles help evolve your design, ensuring that your digital experience remains relevant, efficient, and high-performing over time.

You get ongoing, measurable improvements — not just one-time deliverables.
Your UX evolves with your product and customers.
Communication Channels
All communication, file sharing, and project updates occur within your dedicated ConvertSales workspace. This centralized environment includes design files, documentation, progress reports, and async video reviews. You’ll receive structured updates at each milestone — and you can leave feedback or questions directly in the workspace, ensuring nothing gets lost or overlooked.
Why it’s better:
Everything stays organized and traceable.
No missed emails or lost messages.
You always know where the project stands.
Legal & Jurisdiction
ConvertSales operates under international standards of digital services and intellectual property law. In the event of any disagreement, both parties agree first to engage in direct, good-faith communication to resolve the issue informally. If no resolution is reached, legal action will follow the jurisdiction of ConvertSales’ registered business entity, unless otherwise specified in writing.
